1. Purpose
The Humane Choices Foundation (the Organization) is committed to providing reasonable accommodation to staff, volunteers, Board members, and program participants who require it based on a protected ground under applicable human rights legislation. This policy reflects the Organization's belief that full and meaningful participation should be available to everyone.
2. Grounds for Accommodation
The Organization will provide accommodation based on any ground protected under applicable human rights legislation, including but not limited to:
- Disability (physical, mental, developmental, or learning)
- Religion or creed (including dietary practices and observance schedules)
- Family or caregiver status
- Pregnancy and parental responsibilities
- Gender identity or expression
3. Requesting Accommodation
An individual seeking accommodation should submit a written or verbal request to their direct supervisor or the Human Resources team as early as practicable. The request should describe the nature of the limitation or need and the type of accommodation being sought. Medical or other supporting documentation may be requested where reasonably necessary.
4. The Accommodation Process
Upon receiving a request, the Organization will:
- Acknowledge receipt within five (5) business days
- Engage in a cooperative process with the individual to identify an appropriate accommodation
- Implement the accommodation in a timely manner
- Monitor the accommodation and adjust as needed
The Organization will provide accommodation to the point of undue hardship, taking into account factors such as financial cost, health and safety implications, and operational impact.
5. Confidentiality
All information related to an accommodation request will be kept strictly confidential and shared only on a need-to-know basis. Personal medical information will not be retained in personnel files without written consent.
6. Mission Alignment
The Organization recognizes that a commitment to veganism and animal welfare reflects deeply held ethical and values-based positions for many of its community members. Wherever possible, organizational activities, events, and meetings will be structured to support full participation by all individuals.
7. Annual Review
This policy will be reviewed annually. All covered individuals will acknowledge having re-read Organization policies at least once annually.
